Your Role

As a Team Assistant you will be providing administrative support and assistance to the Strategy Implementation (SI) Zurich based teams in Investment Management (IM). Your main responsibilities will involve:

  • Administration and maintenance of managers’ calendars
  • General correspondence (emails, letters and memos) in line with company standards
  • Scheduling meetings and organisation of business travel and preparation of associated itineraries
  • Managing travel and expense reports in line with company policy, processing internal and external invoices and assisting in the effective control of expenses
  • Maintaining file systems and managing IT Infrastructure requests
  • Scheduling and coordinating conferences, workshops and other IM events
  • Coordinating the hiring process of new staff members
  • Preparing agenda and presentation material
  • Verifying the condition of meeting rooms to ensure they are suitable for meetings and greeting external visitors
  • Assisting and deputising for the Executive Assistant to the Head of SI
  • Supporting and providing cover for other IM assistants

Your Skills and Experience

As a Team Assistant your skills and qualifications will ideally include:

  • Commercial Business school diploma, KV
  • 2 years’ experience as an assistant
  • Experience working in a financial company an advantage
  • Experienced in structuring and prioritising work in an international team environment
  • Effective communication skills
  • Knowledge of Zurich’s internal procedures an advantage (e.g. travel booking system, IT infrastructure management, logistics management etc) a strong advantage
  • English (nearly native speaker) and German (good conversational skills an advantage)
  • Strong Microsoft Office skills and experience in working with Lotus Notes an advantage
  • Good customer service skills, team player, motivated and enthusiastic with a positive and cheerful attitude
  • Service oriented and discreet, capable of handling confidential information
  • Effective communicator, personable, displaying empathy with a strong sense of initiative and adaptability to manage priorities and conflicts
